    Position: Operations Manager

    Pro Peninsula is a San Diego based nonprofit organization dedicated to
    empowering communities and organizations on the Baja California peninsula to protect and preserve their environment. Pro Peninsula is led by a dedicated board with backgrounds in science, law, conservation, outreach and advocacy, employs staff members in the U.S. and Mexico experienced in international environmental policy, science and biology, community-based conservation and non-profit management, and is supported by an active and dedicated membership.


    Position Description
    Pro Peninsula seeks an Operations Manager responsible for administration and management of the internal operations of the organization. Areas of responsibility include Finance and Accounting, Human Resources, and Operations Management. The Operations Manager serves as the bookkeeper, human resources director and office manager, reports directly to the Co-directors and assumes responsibility in the absence of the Co-directors. The Operations Manager will work closely with the Pro Peninsula Co-Directors, the Board of Directors and staff members. This is a full-time position based in San Diego, California. Key Responsibilities include, but are not limited to:

    Financial Administration
    - Primary oversight of administrative details, including bookkeeping and processing/payment of all invoices and expense reports
    - Review of all invoices for information accuracy
    - Monitor incoming grants and contributions
    - Direct and manage the organization’s overall financial policies and accounting practices
    - Liaise with external accountant for all tax and audit issues
    - Prepare and present annual budget, monthly budget reconciliation, annual audit, and financial reports to staff, funders and board
    - Coordinate with staff to prepare all financial reports for grants and contracts
    - Financial planning and forecasting
    - Cash management

    Human Resource Coordination
    - Serve as human resources director and implement personnel policies and procedures
    - Maintain and control files for applicable correspondence, forms, policies/procedures, reports, and other work product files that allows for consistent and on-going management of human resource functions
    - Communicate and interpret compliance regulations and internal policy and procedures; ensure employees are in compliance with regulations, policies and procedures; proactively ensure that the organization is up to date on and in compliance with HR practices and laws
    - Develop and maintain strategies and procedures for recruitment, retention and employee satisfaction
    - Ensure that the work environment and benefits remain competitive in the market (i.e. salary surveys, best in class practices)
    - Direct and coordinate the activities of the Project Managers; ensure effective work flow and operational consistency; oversee staff and program work plan and budget development;
    - Oversee payroll and benefits
    - Plan, coordinate and document weekly staff meetings, prepare monthly staff report summaries and quarterly board reports
    - Approve personnel documents and oversee personnel records
    - Assist employees with human resources issues and inquires and with conflict resolution
    - Manage Volunteer and Intern Program
    - Conduct employee, volunteer and intern orientations

    Office Management
    - Create and maintain documented systems that allow for consistent and on-going management of office operations including but not limited to: record maintenance, office facilities, equipment, procurement and management of services and supplies, regulatory filings, insurance, office calendars
    - Assess office needs, recommend and implement new methods, procedures or strategies to solve work problems and improve coordination and productivity
    - Oversee purchasing of all office equipment and supplies and ensure price, quality and delivery standards are met; - Coordinate management of and communications between various Pro Peninsula offices and field stations
    - Receive and screen telephone calls and provide necessary assistance on various programs, procedures, and contact information
    - Send and receive faxes for staff, prepare courier packages and arrange for delivery by phone and electronically, as required
    - Prioritize mail and messages
    - Welcome guests and assist visitors, as required
    - Oversee travel planning and records
    - Monitor 501(c)(3) compliance

    Qualifications
    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Education: - Minimum of a B.A.;
    - MBA or equivalent business experience strongly preferred
    Experience:
    - Strong operational experience, and ideally has worked 3-4 years in a management role in a socially-responsible, international, and multi-site organization
    - Financial management experience
    - Human Resources experience
    Skills:
    - Proficient in Microsoft office, QuickBooks financial software, Internet and E-mail
    - Excellent written and oral communication skills. Spanish language skills a plus

    Abilities:
    - Experienced leader with excellent people skills, able to coordinate and motivate a dedicated but often overextended and geographically-disperse team
    - Ability to work effectively with little or no instructions. Ability to solve problems and deal with a variety of undefined variables in situations where only limited standardization exists
